Sales Support Specialist

POSITION OVERVIEW

The Sales Support Specialist role ensures the smooth flow of order to invoice information interfacing with multiple departments, handoffs and software systems. This position requires excellent attention to detail in a complex system. The role performs a variety of clerical and administrative activities including responsible for mail systems and secondary phone coverage on the phone console.

JOB RESPONSIBILITIES

  • Process invoices and credit memos. (70%)
  • Prepare/verify freight invoices for approval.
  • Run daily sales reports.
  • Meter mail Monday through Friday.
  • Sort and distribute daily mail to all Sonnax departments.
  • Secondary phone coverage: Answer and appropriately direct incoming calls in a courteous, professional and timely manner, and ensures coverage of all incoming calls.
  • Other tasks may include:
    • Maintain customer and product pricing records, prepare customer price lists.
    • Data entry and other necessary services to customers.
    • Create new/update current customer records.
    • Organize, verify or update customer complaints before sending off for approval.
    • Monitor the flow of e-mail through website.
    • Provide back-up support to Sales Support/Sales team and as directed by Manager.
    • Other duties as assigned.

QUALIFICATIONS

  • High school diploma or GED. 
  • 1-3 years previous work experience with customer service or sales support.
  • Proficiency in database management and strong math skills.
  • High level of proficiency in Excel and Word.
  • Strong administrative, organizational and interpersonal skills and ability to adapt to shifting priorities.
  • Experience with ERP systems helpful.
  • Excellent telephone etiquette and written skills.
